Executive Assistant

About the Role

The Lukens Company (TLC) is an award-winning full-service marketing agency that is seeking an Executive Assistant to join our Administration Department in our Arlington, VA office.

The Executive Assistant will provide administrative support to the President & Managing Partner. This position will involve record maintenance, expense reconciliation and reporting, company travel assistance, and meeting coordination.

What You’ll Be Doing

  • Scheduling internal and external meetings and appointments

  • Preparing materials for meetings

  • Recording meeting notes and distributing to attendees accordingly

  • Drafting and editing documents and reports

  • Assisting with the creation and production of RFPs, presentations, and proposals

  • Registering for events and conferences

  • RSVPing to client events

  • Contributing to event coordination as needed

  • Coordinating all aspects of travel (air, ground, and accommodations) and composing detailed itineraries

  • Overseeing office equipment functionality and inventory of office supplies

  • Purchasing and shipping miscellaneous items

  • Reconciling and recording expenses

  • Entering data and maintaining files

  • Analyzing and improving internal processes

  • Maintaining office-wide communications for employee recognition and celebrations

  • Working with building management on all building-related matters, maintenance, and improvements

  • Conducting general research

  • Providing support to the Administration Department as needed

What We'd Like to See

  • Bachelor’s degree

  • 2-4 years of administrative, project management, or relevant experience (experience working on events is a strong bonus)

  • Strong customer service skills and the ability to establish and maintain goodwill with clients and employees

  • Excellent communication and writing skills

  • Self-starter with a demonstrated capability to manage multiple projects, prioritize a variety of tasks, and think on your feet to meet ever-changing needs and deadlines

  • Exceptional organizational skills and meticulous attention to detail

  • Comfortable working in a fast-paced, deadline-driven environment with quick turnarounds

  • Adept at working cross-functionally, problem solving, resolving conflicts, and suggesting ways to improve processes

  • Proficient in the use of Adobe and MS Office software (Outlook, Word, PowerPoint, and Excel)

  • Ability to learn new technology systems quickly

  • Results-oriented and team-first attitude

  • Inclination to learn and grow professionally
